Clinical Services vs. Website Communications (HIPAA Note)

Our practice provides speech-language therapy services that may be subject to the Health Insurance Portability and Accountability Act (HIPAA).

However, our website and general inquiry forms are not designed for urgent communications or sensitive health information, and information submitted through the Site may not be treated as protected health information (PHI) until it enters our clinical workflows and systems.

If you become an established clinical patient, you may receive a separate Notice of Privacy Practices (NPP) describing how we use and disclose PHI for clinical care.

DO NOT USE THIS SITE FOR EMERGENCIES. If you have an emergency, please call 911 or go to the nearest emergency room.

How We Share Information

We do not sell your personal information in the traditional sense. We may share information as described below:

A) Service Providers (Vendors)

We may share information with trusted service providers that help us operate our website and communications, such as hosting providers, analytics providers, scheduling/video providers, and customer communication tools. These providers are authorized to use information only as needed to provide services to us.

These providers may receive information you submit (e.g., your name/contact info and scheduling details), or collect information automatically (e.g., analytics identifiers/cookies), depending on your interactions and your browser settings.

We may also use communications and marketing automation tools, to respond to requests initiated on social media platforms and to direct users to relevant resources or website pages. If we use an email delivery or marketing platform to send resources or newsletters, that provider may process your contact information on our behalf for the purpose of delivering those communications.

B) Legal / Safety

We may disclose information if required to do so by law, when presented with documentation or proof of authorization release, or if we believe disclosure is necessary to:

  • Comply with legal process or requests

  • Protect rights, safety, and security of our practice, users, or others

  • Prevent fraud or address technical issues

C) Business Transfers

If we are involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to appropriate confidentiality protections.

Cookies, Analytics, and Tracking Technologies

We use cookies and similar technologies to operate the Site and understand how people use it.

A) Types of Cookies We May Use

  • Essential cookies: required for core website functionality

  • Analytics cookies: help us understand Site traffic and usage patterns (e.g., Google Analytics)

  • Functional cookies: remember preferences (where supported)

B) Google Analytics

We use Google Analytics to help analyze how visitors use our Site. Google may set cookies and collect usage data. You can control or limit cookies through your browser settings. You can also use Google’s opt-out options where available.

C) Managing Cookies

Most browsers allow you to:

  • Remove or reject cookies

  • Alert you when cookies are being set

  • Control certain tracking preferences

If you disable cookies, some Site features may not function properly.

D) Do Not Track

Some browsers offer a “Do Not Track” (DNT) signal. Because there is no consistent industry standard for responding to DNT signals, we may not respond to them.

Scheduling and Video Services

If you schedule through one of our trusted scheduling or virtual vendors or providers, you are also subject to Calendly’s privacy practices. Scheduling may involve providing:

  • Contact details and availability

  • Meeting preferences and basic notes you choose to enter

If you meet with us virtually via Zoom, Zoom may process meeting-related data (e.g., connection details and technical metadata). We recommend you review Zoom’s privacy and security settings and use a private connection whenever possible.

Social Media Interactions and Messaging Automation

We may interact with you through social media platforms (such as Instagram, Facebook, TikTok, and LinkedIn). If you comment, message, or engage with our content, the platform may provide us with certain information (for example, your social media handle, profile information you make available, and the content of your message or comment).

We may use a third-party tool (such as ManyChat) to automate certain responses (for example, sending a direct message when a user comments a keyword). These automated messages may include links to our website, scheduling tools, or contact forms.

PLEASE DO NOT SHARE SENSITIVE MEDICAL OR HEALTH INFORMATION THROUGH SOCIAL MEDIA DIRECT MESSAGES. Social media platforms are not controlled by us and may not be secure. If you choose to share information through these platforms, it may be collected and processed by the platform according to its own policies.

You can opt out of automated messages at any time by using the platform’s tools (for example, blocking the account, changing privacy settings, or following any in-message instructions such as ‘stop’ or ‘unsubscribe’ where available).

Data Storage and Security

We take reasonable administrative, technical, and physical measures to protect the information we collect through the Site. However, no method of transmission over the internet or electronic storage is completely secure.

If you suspect unauthorized access to information you submitted through the Site, please contact us.

Data Retention

We retain website inquiry and scheduling-related information for as long as necessary to:

  • Respond to you and provide services you request

  • Maintain records for business operations

  • Comply with legal obligations

Typical retention period (website inquiries): thirty-six months or three years
Clinical records (if you become a patient) are retained according to HIPAA and applicable state laws and are governed by separate policies.
